Terms and Conditions for HandyFlow

Welcome to HandyFlow. These Terms and Conditions (“Terms”) govern your access to and use of the HandyFlow mobile application and website (collectively, the “Service”), operated by [Your Company Name] (“we,” “us,” or “our”).

By downloading, accessing, or using HandyFlow, you agree to be bound by these Terms. If you do not agree with any part of these Terms, you must not use our Service.

1. Description of Service

HandyFlow is a Micro-SaaS tool designed specifically for independent contractors and tradespeople (e.g., electricians, plumbers, builders). The Service provides tools for:

  • Creating and sending professional estimates and quotes via PDF.
  • Generating service contracts based on approved quotes.
  • Managing customer relationships (CRM).
  • Tracking job status and financial overviews (outstanding balances, partial payments).

Important Disclaimer: HandyFlow is strictly a job tracking and management tool. It does not process financial payments, nor does it issue legally binding tax invoices or receipts on your behalf. You are solely responsible for compliance with all local tax and accounting laws.

2. Eligibility and Account Registration

  1. Eligibility: You must be at least 18 years old and capable of forming a binding contract to use the Service.
  2. Account Creation: To use HandyFlow, you must create an account. You agree to provide accurate, current, and complete information during registration and to keep this information updated.
  3. Account Security: You are responsible for maintaining the confidentiality of your account credentials. You agree to notify us immediately of any unauthorized use of your account. We are not liable for any losses caused by unauthorized access to your account.

3. Subscription Plans and Payments

HandyFlow operates on a Freemium model.

3.1. Free Trial Plan

  • Upon registration, users are granted a free trial allowing the creation unlimited quotes and their associated contracts.
  • This trial provides full access to the app’s workflow.

3.2. Pro Plan (Subscription)

  • To create more than five quotes or access premium features (such as unlimited quotes/contracts and cloud backup synchronization), you must subscribe to the Pro Plan.
  • Pricing: The Pro Plan is available at 8.99 GBP / 9.99 EURO / 49 RON per month, covering one (1) user.
  • Billing: Subscriptions are billed in advance on a recurring monthly basis. By subscribing, you authorize us (or our third-party payment processors) to charge your designated payment method.
  • Taxes: All stated prices are exclusive of applicable taxes unless otherwise noted. You are responsible for any taxes applicable to your subscription.

3.3. Cancellation and Refunds

  • You may cancel your subscription at any time through your account settings or the applicable app store (Apple App Store or Google Play Store) if purchased via In-App Purchase.
  • Cancellation will take effect at the end of the current billing cycle. You will retain access to Pro features until the cycle concludes.
  • We do not offer refunds or credits for partial billing periods unless required by law.

4. User Content and Data Privacy

4.1. Your Data

You retain all ownership rights to the data, client information, pricing details, and documents (quotes, contracts) you enter into HandyFlow (“User Content”).

4.2. How We Use Your Data

By using the Service, you grant us a non-exclusive, worldwide, royalty-free license to host, store, and process your User Content solely for the purpose of operating, maintaining, and improving the Service.

4.3. Device Access

The app requires access to certain device features, including:

  • Contacts: To import client names and phone numbers.
  • Storage/Files: To save generated PDFs locally.
  • Third-Party Apps: To utilize native sharing (e.g., WhatsApp) and navigation (e.g., Google Maps). We only access these features with your explicit permission as granted within the device settings.

4.4. Privacy Policy

Our data collection and usage practices are governed by our Privacy Policy. By using HandyFlow, you consent to our Privacy Policy.

5. Offline Functionality and Cloud Sync

  • Offline-First: HandyFlow is designed to function locally on your device without an internet connection. Your data is stored locally via a local database.
  • Cloud Sync: HandyFlow utilizes a third-party service (Supabase) for cloud synchronization and data backup. While we strive to maintain reliable sync services, we are not responsible for data loss resulting from local device failure before synchronization occurs. We strongly recommend regular backups.

6. Prohibited Conduct

You agree not to use the Service to:

  1. Violate any applicable local, national, or international law.
  2. Transmit any fraudulent, deceptive, or misleading information.
  3. Infringe upon the intellectual property rights or privacy of others.
  4. Attempt to interfere with, compromise the system integrity or security, or decipher any transmissions to or from the servers running the Service.
  5. Reproduce, duplicate, copy, sell, resell, or exploit any portion of the Service without our express written permission.

7. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, IN NO EVENT SHALL [YOUR COMPANY NAME], ITS DIRECTORS, EMPLOYEES, OR AGENTS BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING WITHOUT LIMITATION, LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, RESULTING FROM:

  • YOUR ACCESS TO OR USE OF OR INABILITY TO ACCESS OR USE THE SERVICE.
  • ANY CONDUCT OR CONTENT OF ANY THIRD PARTY ON THE SERVICE.
  • UNAUTHORIZED ACCESS, USE, OR ALTERATION OF YOUR TRANSMISSIONS OR CONTENT.

HandyFlow provides estimate and contract templates “as is.” We are not a law firm and do not provide legal advice. You are responsible for ensuring that any contracts generated meet your local legal requirements.

8. Disclaimer of Warranties

Your use of the Service is at your sole risk. The Service is provided on an “AS IS” and “AS AVAILABLE” basis. We disclaim all warranties of any kind, whether express or implied, including, but not limited to, implied warranties of merchantability, fitness for a particular purpose, and non-infringement.

9. Modifications to the Service and Terms

  • Changes to Service: We reserve the right to modify or discontinue, temporarily or permanently, the Service (or any part thereof) with or without notice.
  • Changes to Terms: We may update these Terms from time to time. We will notify you of any changes by posting the new Terms on this page and updating the “Last Updated” date. Your continued use of the Service after any such changes constitutes your acceptance of the new Terms.

10. Governing Law

These Terms shall be governed and construed in accordance with the laws of the UK, without regard to its conflict of law provisions.
